Terms of Business for Landlords

Coulson Management is a letting and property management agency established in 1983 with knowledge and experience offered to Landlords. We are members of the Association of Residential Letting Agents Property Mark (ARLA) which professional body regulates all its member companies and expects consistently high standards. We carry Rent Protection and we are members of the Property Ombudsman. 

 

The Property 

  •  A representative will call and inspect your property, we will discuss all aspects of the letting with you.

  • When an applicant is found and agrees a let, subject to contract, references are put in hand with the referencing agency Keysafe

  • Self employed persons will be required to supply confirmation of their accounts.

  • It is normal practice to offer a six month Assured Short hold Tenancy,  longer tenancies can be offered subject to the landlords permission.

  • Subject to satisfactory references an entry date is then negotiated.   

  • Draft information for the Assured Shorthold Tenancy and Prescribed Information and associated paperwork relating to the tenancy will be emailed over to the applicants and guarantors if applicable.

  • Inventory/Schedule drawn up by an inventory clerk and handed to the tenants on entry date.

  • All utility companies are informed of the new tenants and meter readings.

 

Rent

  • Paid in advance on a calendar monthly basis, statement forwarded on to the landlord, hard copy or email depending on Landlords preference.

  • Payments are made via Bacs transfer once we have cleared funds in our account.

  • Should there be any rent arrears the landlord is notified of the problem as soon as possible.

Maintenance

  • Tenants inform the office of any maintenance problems and we hope to carry out the work swiftly,

  • We request that landlords allow us to make certain decisions regarding minor and emergency maintenance issues.

  • We would always advise a landlord of a maintenance problem that would reach over our expected spending limit.

  • The invoice is normally deducted from the next monthly rent statement.

Client Money Protection

  • We offer client money protection to landlords, this is annually reviewed by ARLA Property Mark
